Fleet Management Software for African Construction Companies

Log every trip, fuel purchase, and service for every vehicle and plant asset — with project cost allocation and maintenance scheduling across African construction operations.

What is Fleet & Vehicle Management?

Construction and infrastructure companies operate significant vehicle and plant fleets — pickups, trucks, cranes, generators, excavators, cable-laying machines. These assets represent major capital investment and generate significant ongoing costs: fuel, servicing, tyres, insurance, and road levies. Without proper fleet management, costs balloon through fuel theft, deferred maintenance, unrecorded usage, and vehicles deployed to projects without the costs being captured correctly. InfraPro's Fleet & Vehicle Management module brings full visibility and control to every aspect of fleet operations.

Every vehicle and piece of plant is registered in the system with its registration number, type, make, model, assigned project, and responsible driver. Trip logs capture departure and return odometer readings, destination, purpose, and the project the trip should be charged to — creating an auditable record of every vehicle movement. Fuel logs record fuel purchases with quantity, cost, supplier, and odometer reading, enabling fuel efficiency analysis across the fleet and the rapid identification of vehicles with abnormal consumption.

Scheduled maintenance management ensures vehicles and plant are serviced on time. Service intervals are configured by mileage and time. When a vehicle approaches its service due date or mileage, the system generates a maintenance alert to the fleet manager. Completed services are recorded with cost, workshop, parts replaced, and next service due. Insurance, MOT, and road levy expiry dates are tracked with advance warning notifications — eliminating the compliance gaps that can result in fines, grounded vehicles, or insurance voiding.

Everything Included in Fleet & Vehicle Management

Vehicle & Plant Register

Comprehensive register of all vehicles and equipment: registration number, make, model, year, asset type, assigned project, responsible driver, and current status.

Trip Logging

Log every trip with driver, vehicle, departure and arrival odometer, destination, purpose, and project allocation. Mileage-based cost allocation per project.

Fuel Log Management

Record every fuel purchase with date, vehicle, quantity, cost per litre, supplier, and odometer. Fuel efficiency (km/litre) calculated automatically. Abnormal consumption flagged.

Driver Assignment & Scheduling

Assign drivers to vehicles and projects. Track driver licensing, licence expiry, and driving incident history. Manage driver schedules across multiple sites.

Maintenance Scheduling

Configure service intervals by mileage and time. Automatic alerts when service is due. Service booking and completion recording with costs and workshop details.

Repair & Breakdown Management

Log breakdowns and repairs with fault description, workshop, repair costs, and downtime duration. Track repair history per vehicle for total cost of ownership analysis.

Insurance & Compliance Tracking

Track insurance policy expiry, MOT/inspection certificates, road levy, and other compliance documents with automated advance warning notifications.

Fleet Cost by Project

Allocate all fleet costs (fuel, maintenance, depreciation) to specific projects based on trip logs and time allocation — enabling accurate project cost tracking.

Vehicle Utilisation Reports

Analyse fleet utilisation: days in service vs. days idle, mileage per vehicle, fuel cost per vehicle, and project allocation breakdown.

Plant & Equipment Tracking

Manage non-vehicle plant assets (generators, compressors, cable drums, tools) with assignment, usage logging, and maintenance schedules.

Why Teams Choose This Module

Cut Fuel Costs Significantly

Comprehensive fuel logging combined with efficiency analysis identifies vehicles with abnormal consumption — typically indicating fuel theft, mechanical issues, or inefficient driving habits.

Zero Vehicles Off-Road Due to Deferred Service

Automatic maintenance alerts mean services are scheduled before vehicles become unreliable — eliminating the costly breakdowns that happen when maintenance is deferred.

Accurate Project Fleet Cost Allocation

Trip-based project allocation means fleet costs are correctly charged to the projects that incurred them — giving accurate project P&L without manual spreadsheet cost apportioning.

Always Compliant, Never Caught Out

Insurance, MOT, and road levy expiry tracking with advance alerts means no company vehicle is ever operating with lapsed compliance documents.

How Different Industries Use This

Track pickup trucks, cable-laying trucks, crane lorries, and generator sets deployed across rural electrification sites — with fuel logs, trip allocation per county, and maintenance scheduling.

Manage fiber-laying vehicles, survey bikes, and boring machines across route sections — with mileage tracking, fuel efficiency monitoring, and project cost allocation per route segment.

Common Questions About Fleet & Vehicle Management

Can I track plant and equipment as well as vehicles?
Yes. InfraPro's Fleet module covers all mobile assets — vehicles, construction plant (excavators, graders, cranes), generators, compressors, and major tools. Each asset has its own register entry, maintenance schedule, and usage log.
How does fleet cost get allocated to projects?
Each trip log entry includes a project allocation field. The fleet manager records which project a trip or equipment deployment should be charged to. Fuel and maintenance costs are also tagged to projects based on vehicle assignment. Monthly fleet cost reports show the total fleet cost allocated to each project.
Can I set up maintenance alerts by mileage?
Yes. You configure the service interval in kilometres for each vehicle (e.g., service every 10,000km). InfraPro tracks the odometer via trip log entries and generates a maintenance alert when the vehicle approaches the next service mileage — typically configurable to trigger 500–1,000km before due.
Can drivers log trips from the mobile app?
Yes. Drivers can record trip start and end from the InfraPro mobile app — capturing departure odometer, destination, and project allocation at the start of a trip, and arrival odometer at the end. This gives real-time trip visibility to the fleet manager.
